Under the Property Management Service we will find a tenant for the property and prepare all documentation. We will also advertise the property at our expense, showing the property to prospective new tenants and where we consider necessary, taking up employment or prior rental references.
When we have found a suitable tenant and the lessor approves the letting, we will prepare the tenancy agreement and collect from the tenants a deposit and the first months rent.
We visit the property every three months to check on the property and will report to the you, owner the condition of the house and any serious defects. The tenants will pay the rent to our client account each month, and should the tenants be late paying rent we will contact them to rectify the situation. Should we consider it necessary to take stronger action, we would then contact the lessor to take your further instructions.
We will draw up a schedule of conditions which will detail the condition of the property at the date of our instruction or the commencement of the tenancy, (whichever is later), and try to ensure that the tenant leaves the property in the same condition, subject to fair wear and tear at the end of the tenancy. Should any defects arise either in the property or the equipment contained within the property, we would arrange for this to be repaired or replaced, having obtained the landlord/ landlady’s consent to any disbursements in respect of tradesmen etc. However, we accept no liability for any damage done to the property or for any deficiencies in the condition of the property at the conclusion of the tenancy.
Upon completion of the tenancy, we check the property and, if satisfied with the condition of the property, we request that the lessor refunds the deposit to the lessee.
The rent, paid monthly in advance, is paid into Spencer Auctioneers Client Account. We deduct our fees from the monies collected by us from the tenant and account to landlord/ landlady for the balance every month. We lodge the rent to your bank account and send you the relevant documentation. Should the tenancy be held under the HAP (Housing Assistance Payment) scheme, then these rents are paid in arrears at the end of each month.
Under our Basic Property Letting we will advertise the property at our expense, find a suitable tenant, prepare all relevant documentation relating to the tenancy i.e., tenancy agreement, inventory of property contents etc, collect the first month’s rent and deposit from the lessee and return the balance due to the lessor once our fees have been deducted.
Once the lessee takes up residency in the property all further correspondence relating to any issue is between the lessor and lessee, our involvement is complete. The subsequent month’s rent will be paid directly to the lessor’s bank account which will also be included in the lease for all ongoing payments.
